Privacy Policy

Mandala Networks LLC ("Mandala Networks," "we," "us") is a Florida limited liability company providing engineering consulting services. This policy explains what information we collect through mandalanetworks.llc, why we collect it, and what we do with it.

We keep this short because our practices are simple. We do not sell personal information, we do not run advertising, and we do not use third-party trackers.

Information we collect

Consultation bookings. When you book a consultation at /book, we ask for your name and email address, and you may optionally provide your company, phone number, and a short description of what you would like to discuss. We record the time slot you select.

Contact form. If you write to us at /contact, we receive the name, email address, and message you submit, and we use them to reply to you.

Field guide. If you ask us to email the field guide, we collect your work email, name, company, firm type, and optional title and phone. We send the PDF to that address, keep the record so we can follow up, and do not sell the list.

Chat. The chat on this site is an AI assistant. Messages you type are processed by an AI model to generate a response (see "AI assistance" and "Service providers" below). Chat requires no account; we use your IP address briefly, in memory, to limit request volume, and chat sessions are identified anonymously. Please do not share confidential or sensitive personal information in the chat.

Email correspondence. If you write to us at connect@mandalanetworks.llc or reply to one of our emails, we receive and retain the contents of that message along with your email address and any information you choose to include.

Technical and usage data. Our hosting provider generates standard server logs when your browser requests a page, including IP address, browser type, and the pages requested. We also use your IP address in memory, and only for a few minutes, to limit how many booking and field guide requests can come from one source; it is not written to our database. We do not currently use website analytics. If we add analytics in the future, we will choose a privacy-respecting service that reports aggregate traffic patterns rather than identifying individual visitors, and we will update this policy before doing so.

We do not collect payment information through this website, and we do not ask for sensitive categories of personal information.

How we use your information

We use booking information solely to schedule your consultation, send you a confirmation and calendar invitation, meet with you, and follow up about that conversation and any work that may result from it.

We use a field guide request to send you the PDF and to follow up about a discovery conversation.

We use email correspondence to respond to you and to maintain a record of our business communications.

We use technical and usage data to keep the site running, diagnose problems, and prevent abuse of the booking and field guide forms.

We process this information because it is necessary to provide a service you asked for, and because we have a legitimate interest in operating and securing our own website and communicating with prospective and current clients. We do not use your information for automated decision-making that produces legal or similarly significant effects.

Cookies and local storage

We do not use cookies for tracking, advertising, or analytics. The site stores a single item in your browser's local storage to remember whether you prefer the light or dark theme. That preference stays in your browser, is never sent to us, and can be cleared at any time through your browser settings.

AI assistance

The chat on this site is answered by an AI assistant that processes your messages to generate responses about our practice.

We also use an AI assistant to help manage inbound email at connect@mandalanetworks.llc. It may read incoming messages and prepare a draft reply. A person reviews and approves every email response before it is sent. No email is answered, routed, or acted on automatically, and no decision about you is made by the assistant alone.

Calendar and video calls

When you book a consultation, we create an event on our Google Calendar and add your email address as an attendee, which is what allows the invitation to appear on your own calendar. Google generates a Google Meet link for the call. Your name, email address, and the topic you described are visible in that calendar event.

Service providers

We rely on a small number of vendors to run the site and our practice. Each processes your information only to provide services to us:

  • Vercel — website hosting and delivery
  • Neon — the PostgreSQL database, hosted in a United States region, where booking records are stored
  • Resend — sending transactional email such as booking confirmations, calendar invitations, and notifications, and receiving inbound email
  • Google — Google Calendar and Google Meet for scheduling and conducting consultations
  • Anthropic, via Vercel's AI Gateway — the AI model that answers chat messages and prepares email reply drafts

We do not sell or rent personal information, we do not share it for advertising or cross-context behavioral advertising, and we do not allow third-party trackers on the site. We may disclose information if required by law, or if necessary to protect our rights, safety, or property.

Where your information is stored

We operate from the United States and our vendors store information on servers in the United States. If you contact us from outside the United States, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country.

How long we keep it

We keep booking records and email correspondence as ordinary business records for as long as they remain useful for our client relationships, tax, and legal purposes. There is no fixed schedule. If you ask us to delete your information, we will do so unless we are required to keep it, and we will tell you if that is the case.

Your choices and rights

You can ask us to:

  • tell you what personal information we hold about you,
  • correct information that is wrong,
  • delete your information,
  • send you a copy of the information you provided to us, or
  • stop contacting you.

Email connect@mandalanetworks.llc and we will respond within a reasonable time, normally within 30 days. We will not charge you for these requests or treat you differently for making one.

If you are in the European Economic Area or the United Kingdom, you have these rights under the GDPR and UK GDPR, along with the right to object to processing based on our legitimate interests and the right to lodge a complaint with your local supervisory authority.

If you are a California resident, we do not sell or share your personal information as those terms are defined under the CCPA, and we will honor requests to know, delete, or correct your information as described above.

Security

We use encrypted connections for the website and for access to our database and email, and we limit access to booking records to people who need it to do the work. No system is perfectly secure, but we take reasonable steps appropriate to the small volume and sensitivity of the information we hold.

Children

This site is intended for businesses and working professionals. We do not knowingly collect information from anyone under 16. If you believe a child has provided us information, email us and we will delete it.

Changes to this policy

We will update this policy when our practices change — for example, if we add analytics or a new service provider. When we do, we will revise the effective date at the top of the page. If a change materially affects how we handle information you already gave us, we will contact you directly at the email address we have for you.
